ICIP 2009 is pleased to offer participation grants (travel + registration) for student authors of papers from countries which are traditionally underrepresented at ICIP and for student authors of papers who are attending US institutions.
Eligibility and Selection
Eligibility and selection: Students who are authors on accepted ICIP papers are eligible to apply for a grant covering the cost of travel (transportation and hotel) and conference registration at ICIP. Awards will be made based upon demonstrated financial need.
The award process is entirely separate from the paper review and acceptance process and will occur after the technical review stage.
Students from non-US institutions: Each student applicant will need to demonstrate that the institution he or she is attending is contributing toward the cost of the student’s participation. Preference will be given to first-author students from institutions and countries which have not traditionally been represented at IEEE ICIP.
Students from United States institutions: Students at United States institutions are eligible for travel grants under a separate program funded by the US National Science Foundation and should follow the same application procedure.
Awards
Awards will cover conference registration, air travel, and hotel accommodation in Cairo. Plane tickets will be purchased for recipients and hotels and registration will be paid directly.
Application Process
The deadline for applying for a student author grant has passed.
After applying, you will receive an email containing an application ID number and an access code. The ID and access code can be given to advisors who will use them to submit recommendation letters supporting your application.
The deadline for submitting a recommendation letter was Wednesday, August 5, 2009.
You will need an application ID and access code from the student or young researcher in order to submit a recommendation letter or some supporting materials.
Applications must be submitted through the conference website only. Required information includes:
- Applicant and advisor information, as well as a travel cost estimate:
- applicant’s name and contact information (institution, mailing address, e-mail address, phone)
- faculty advisor’s name and contact information
- the title, author list, and number of their paper (assigned by the paper submission system at the time of submission)
- the approximate cost of round-trip airfare to Cairo from the applicant’s location (provide price in local currency and in equivalent US Dollars, as well as the carrier and the source of the price information [internet, travel agent, etc.])
- A supporting letter from the faculty advisor. This letter should include
- A statement attesting that the student applicant performed a majority of the work described in the paper.
- A demonstration of financial need,
- A description of the institution’s monetary contribution toward the student’s participation costs and the amount (e.g., covering local travel expenses, food).
- A statement confirming that in the event that the student receives a grant and subsequently does not attend ICIP 2009 to present his/her paper, the institution will reimburse the IEEE SPS in the amount of the grant.
- Supporting letters from the department chair and/or dean are optional. If included, they should reiterate the institutional contribution toward costs and the no-show reimbursal guarantee mentioned in (2) above.
Selection Process
A committee will review the applications, considering geographic diversity, financial need, and the contribution of the student’s institution. Preference will be given to students who are first authors on papers.
Tentative Timeline
The application deadline is July 31, 2009. Awardees will be notified by August 7, 2009, and will have one week following notification to accept or decline the award.
Please note that acceptance of an award represents a commitment to attend the conference and to present the paper. Institutions will be held financially responsible for reimbursing the IEEE Signal Processing Society for costs incurred for grants to individuals who do not subsequently present their papers at the conference. Additionally, the IEEE may impose sanctions on authors of no-show papers.
